This policy explains what personal information Sales Protocols LTD collects about you, why we collect it, what we do with it, and what rights you have over it.
We are the "data controller" for that information. That means we decide why and how it is used, and we are responsible for looking after it.

2. WHAT THIS POLICY COVERS
This policy applies to:
• our website at salesprotocols.com
• our free training, guides and email content
• calls you book with us and calls you take with us
• our paid programmes, coaching and community
• our marketing emails, SMS and messaging
It does not cover other companies' websites we link to. If you follow a link away from our site, read that site's own privacy policy.
3. WHAT INFORMATION WE COLLECT
Information you give us
• Contact details — your name, email address, phone number and country
• Application details — what you currently do, your income situation, your experience, your goals, your availability, and anything else you tell us on our forms or on a call
• Booking details — the time you chose, your time zone, and anything you write in the booking notes
• Payment details — if you buy from us. Card details go directly to our payment provider. We never see or store your full card number
• Programme activity — the modules you complete, the calls you attend, messages you post in the community, and any recordings or call reviews you submit to us
• Anything else you send us — emails, replies to our texts, direct messages and support requests
Information we collect automatically
• Device and connection data — IP address, browser type, device type, operating system and approximate location based on IP
• Usage data — which pages you visited, how you arrived, how long you stayed, how much of a video you watched, and which links you clicked
• Email and SMS engagement — whether you opened an email, which links you clicked, and whether a message was delivered
• Advertising data — whether you came from one of our adverts and what you did afterwards
We do not deliberately collect special category data — things like health, religion, ethnicity or political views. Please do not send us that kind of information. If you volunteer it in a form or on a call, we will handle it as part of your application record and delete it on request.
4. CALL RECORDINGS
We record calls. This includes sales and application calls, and live coaching calls where your programme includes them.
• We tell you at the start of a call that it is being recorded.
• We use recordings to train our team, to review quality, to keep an accurate record of what was agreed, and — for coaching calls — to make the session available to others on the programme.
• If you do not want to be recorded on a group coaching call, keep your camera off and do not speak.
• If you do not want a sales call recorded, say so at the start and we will stop the recording.
5. WHY WE USE YOUR INFORMATION, AND OUR LEGAL BASIS
Under UK data protection law we need a lawful basis for everything we do with your data. Here is ours.
To send you the free training you asked for, and follow-up emails and messages about it
Basis: your consent. You gave it when you entered your details to get the training. You can withdraw it at any time.
To contact you about a call you booked, including reminders
Basis: our legitimate interests in making sure a call you asked for actually happens, and taking steps at your request before entering a contract.
To assess whether our programme is a fit for you
Basis: taking steps at your request before entering a contract.
To deliver the programme you bought, give you access, run live calls and provide support
Basis: performance of our contract with you.
To take payment and manage payment plans
Basis: performance of our contract with you.
To keep accounting and tax records
Basis: our legal obligations.
To record calls for training, quality and record-keeping
Basis: our legitimate interests in running the business properly and resolving disputes accurately.
To measure how our website and adverts perform, and to show adverts to people like you
Basis: your consent, where that measurement relies on cookies or similar technology.
To protect our site and forms from bots, spam and fraud
Basis: our legitimate interests in keeping our systems secure.
To handle complaints, enforce our terms and defend legal claims
Basis: our legitimate interests in protecting our position.
Where we rely on legitimate interests, we have considered whether it is fair to you. You can object — see section 11.
6. MARKETING
If you opt in to our free training, we will email and text you about high-ticket closing, our content and our programmes.
You can stop this at any time. Click unsubscribe in any email, reply STOP to any text, or email us. We action opt-outs promptly, and we keep a minimal record of your opt-out so that we do not contact you again by mistake.
If you buy from us, we may send you emails about your programme itself. Those are service messages, not marketing, and you cannot opt out of them while you are enrolled — you need them to use what you bought.
We do not sell, rent or share your personal information — including your mobile opt-in and SMS consent data — with third parties for advertising purposes.
Your phone number, your consent to receive messages from us, and the content of your SMS and RCS messages are never sold, rented or shared with anyone for marketing, and are never passed to any advertising platform. The only companies that receive them are the messaging providers who deliver our messages for us, and they are not permitted to use them for their own purposes or to pass them on.
7. COOKIES AND TRACKING
Our site uses cookies and similar technologies. Some are necessary to make the site work. Others are only used if you agree.
Necessary — keeping the site working, remembering your form progress, protecting our forms from bots. These do not need your consent.
Analytics and advertising — understanding how people use the site, measuring which of our adverts work, and showing our adverts again to people who have visited the site. These are only used with your consent, and they are based on website activity only — never on your phone number or your consent to receive messages.
You can withdraw consent at any time by clearing cookies in your browser and declining when asked again. You can also block cookies in your browser settings, though parts of the site may then not work properly.
8. WHO WE SHARE YOUR INFORMATION WITH
We use other companies to run our business. They only process your data on our instructions, and they are not allowed to use it for their own purposes.
HighLevel (LeadConnector) — our website, forms, calendar, CRM, email and SMS sending. Most of the information you give us is stored here.
Meta (Facebook and Instagram) — measurement of our own adverts. Where you have consented to advertising cookies, our website tells Meta that a page view or an action happened, so that we can see which of our adverts are working and show our adverts again to people who have visited the site. This covers website activity only. We do not send Meta your phone number, your consent to receive messages, or the content of your messages, and we do not upload our contact lists to Meta or to any other advertising platform.
Stripe — payment processing. Stripe receives your payment details directly and handles them under its own privacy policy.
Cloudflare and Google reCAPTCHA — checking that form submissions come from a person rather than a bot.
YouTube (Google) — hosting our training videos. YouTube may set cookies when a video loads.
Video conferencing and messaging providers — for running and recording live calls, and for delivering our SMS and RCS messages. These providers act only on our instructions. They are not permitted to use your number, your consent or your message content for their own purposes, and they may not share it onward.
Our accountants and professional advisers — where they need it to do their job.
We will also disclose information if we are legally required to, or to establish or defend legal claims.
9. WHERE YOUR INFORMATION IS HELD
We are in the UK, but several of the companies above are based in the United States or store data there.
Where information leaves the UK, we rely on one of the safeguards allowed by UK data protection law — an adequacy decision covering the country or scheme concerned, or the UK International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses. If you want detail on the safeguard used for a specific provider, email us and we will tell you.
10. HOW LONG WE KEEP IT
• If you opt in but never buy — up to 3 years from your last interaction with us, then deleted.
• If you buy from us — for the length of your access, then 6 years, so that we can meet accounting and tax obligations and deal with any claim.
• Call recordings — 12 months, unless a recording is part of a live dispute, in which case until it is resolved.
• Opt-out records — indefinitely, because we need them to keep honouring your opt-out.
• Accounting records — 6 years from the end of the accounting period they relate to, as UK law requires.
Where we no longer need information, we delete it or anonymise it so it can no longer identify you.
11. YOUR RIGHTS
Under UK data protection law you have the right to:
• be told how your information is used — this policy does that
• get a copy of the information we hold about you
• have it corrected if it is wrong or incomplete
• have it deleted, where we no longer have a good reason to keep it
• restrict what we do with it while a concern is being sorted out
• object to us using it, including for direct marketing — if you object to marketing we will always stop
• portability — receive certain information in a machine-readable format, or have it sent to someone else
• withdraw consent at any time, where consent is what we relied on
To use any of these rights, email [email protected]. We may ask you to confirm your identity so that we do not release your data to someone else.
We respond within one month. If your request is complicated we may extend that by up to two further months, and we will tell you if so. There is no charge unless a request is clearly unfounded or excessive.
12. AUTOMATED DECISION-MAKING
We do not make decisions about you by automated means alone that have a legal or similarly significant effect on you. A person always decides whether to offer you a place on a programme.
13. KEEPING YOUR INFORMATION SECURE
We take reasonable technical and organisational steps to protect your information — access controls, encrypted connections, and limiting access to people who need it. No system is completely secure, but if there is a breach that is likely to put your rights at risk, we will tell you and the Information Commissioner's Office as the law requires.
14. CHILDREN
Our services are for adults. We do not knowingly collect information about anyone under 18. If you believe a child has given us their information, email us and we will delete it.
15. CHANGES TO THIS POLICY
We may update this policy. The current version is always the one published here, with the date at the top. If we make a significant change to how we use your information, we will tell you by email.
16. HOW TO COMPLAIN
If you are unhappy with how we have handled your information, please tell us first at [email protected] so we can try to put it right.
